Program Administrator, National Greening Program
The Program Administrator assists in the implementation of Tree Canada’s National Greening Program (NGP), with specific focus on supporting program administration level tasks. Under the direction of the NGP Manager, the Administrator is responsible for monitoring assigned projects to ensure they meet timelines and budget; structuring and executing project contracts; booking contractors; and assisting in day-to-day activities of the program.

Term: Full-time, 12-month contract (with potential to be permanent)
Location: Ontario or Quebec

About the Position
The Program Administrator assists in the implementation of Tree Canada’s National Greening Program (NGP), with specific focus on supporting program administration level tasks. Under the direction of the NGP Manager, the Administrator is responsible for monitoring assigned projects to ensure they meet timelines and budget; structuring and executing project contracts; booking contractors; and assisting in day-to-day activities of the program. The Administrator will also play a critical role in managing NGP project data, in the Tree Canada CRM and Tree Planning databases. The Program Administrator is a key member of Tree Canada’s NGP team, working closely and collaboratively with both the NGP and other Tree Canada colleagues.
Areas of Responsibility
Program & Project Administration (80%)
- In collaboration with the NGP Manager, ensures proper project administration and implementation and provides support to the NGP Team.
- Works with contractors to ensure thorough upfront planning, proper due diligence, and the successful execution of large-scale tree planting projects.
- Supports the NGP and Urban team in processing contractor invoices and maintain budget tracking templates.
- Assists with reviewing final reports for projects; prepares internal reporting documents and updating CRM and Tree Planting project records.
- Updates reporting templates, assists with proper filling and organization of data.
- In collaboration with the NGP Manager, provides financials for accuracy and adherence to budgets.
IT/GIS Implementation Support (20%)
- Administers software such as Panda Doc, Manage the NGP geodatabase, ensuring NGP project data is accurately tracked and logged.
- Collect and enter data for new and existing projects from NGP planting contractors and foresters.
- Develops maps of project sites for internal and external use to inform decision making and to promote NGP.
- Under the guidance of NGP Manager, identifies NGP program IT and GIS requirements to accomplish program goals.
Required Knowledge, Skills and Abilities
- Knowledge, interest and/or experience in conservation, environmental sciences, forestry, and administration
- GIS experience and interest is an asset
- Resourceful, self-motivated and passionate professional with progressive work experience
- Experience implementing internal and external administrative processes
- Experience managing project and client data in CRM systems, such as Salesforce
- Timely data entry and up to date record keeping.
- Experience administering contracts, tracking financials, and assisting other staff with operational tasks
- Detail oriented and organized with a demonstrated client-focused mindset
- Strong interpersonal, problem-solving, and communication skills (verbal and written) in English and French (not mandatory, but would be an asset)
- Ability to work both independently and with a team in a collaborative and fast paced environment
- Strong computer skills including proficiency with Microsoft Office (Outlook, Word, Excel, Teams); knowledge and experience with
- Salesforce and OpenWater is an asset
- Respect for the values and differences that all members of a small team bring to an office environment; adaptable to different approaches and flexible to move in new directions
- Commitment to the work and values of Tree Canada, in particular a passion for the environment and a belief that organizations and individuals can and do improve lives by planting trees and addressing climate change
Education and Experience
Post secondary education in business administration, data management, or a related field is an asset. Minimum two (2) to five (5) years experience in project administration in a not-for-profit organization is desired. Equivalencies in education and experience will be considered.
